Job Description Summary

SUMMARY: The Regional Account Coordinator role is responsible for working with  AWD management to ensure the operating/administrative objectives of the regions are met, including:
• Administrative support functions for AWD
• Coordinating work of other administrative personnel
• The RAC position will report directly to the Vice President, AWD

PRIMARY RESPONSIBILITIES:
AWD VP/DM  support
• Reports – excel and database acumen
• Track Sales pipeline for the region
• Region Expense budget reporting
• Pull and format reports from various corporate systems
• Work with Commercial Ops to create new reports as assigned
• Calendar and Meeting management
• Proactive and anticipating deadlines
• Manage calendar appointments for AWD VP/DM
• Prep AWD VP/DM  for upcoming meetings – format / print PPTs, create binders, etc.
• T & E – relationships with key contacts within those departments
• AWD VP/DM  Travel and Expense support
• Support AWD VP/DM travel
• Ensure region is staying within company policy on T&E
• Communication
• Manage phone calls on behalf of AWD VP/DM  and be liaison for solicitors, etc.
• Create memos or other forms of communication to region based on direction of AWD VP/DM
• Manage incoming mail for AWD VP/DM
Region support
• Personnel
• Open new position requisitions
• On-boarding – complete paperwork, equipment, work with sales training for training details, work with HR to complete total on-boarding process for new employee
• Be the first layer of info on the Acelity business process
• Manage employee separation – paperwork, return of equipment
• Remind region of APP and other deadlines
• Region office requirements
• Order office supplies
• Maintaining documentation – all paperwork (electronic and otherwise)
• Special supply ordering
• Models, business cards, projectors, literature
• Maintenance of a list of supplies
• System support
• High level understanding of Genesis, Hero, PM10, etc.
• Hourly employee KABA maintenance for the field
• Workday – assist in Annual Performance Plan tracking,
• Maintain tracking of DMs/reps on steps completed, etc
• SFDC knowledge and ability to provide limited support to the team
Meetings and Programs
• Approval management – paperwork and follow up
• Ensure field has submitted all proper document for dinner programs
• Ensure compliance and policy are being adhered to
• Coordinate w/ Meeting Planning team when necessary
• Track region events, etc
• Work with Events Planning for convention/show support
• Provide some meeting management (i.e. ensuring all needs are being met for meeting and working with other teams to ensure meeting runs smooth)
Customer Interface
• KOL contact maintenance
• Compliance knowledge
• AWD VP/DM  direct customer contacts
• Work with Advantage Center when necessary for customer first issues

Financial Responsibilities
• Obtain approvals where necessary
• Manage petty cash for AWD VP/DM
• Manage subscriptions for AWD VP/DM
• Assist in forecasting for region budget
• Work in MPC to manage region budget
• Ensure region is within policy on all financial request, etc.

REQUIRED QUALIFICATIONS:
• High School Diploma or equivalent
• At least 5 years administrative support experience, including supporting executive staff
• Experience with Microsoft Office applications including: Word, Excel, PowerPoint, Visio, Access, & Outlook

PREFERRED QUALIFICATIONS:
• Proactive and participative
• Experience providing administrative support
• Experience in pulling reports and managing information in databases and excel
• Experience in assisting in daily administration of details and special projects
• Experience in maintaining files and employees paperwork
• Demonstrated presentation and communication skills
• Demonstrated organizational and problem solving skills
• Ability to maintain confidentiality and discretion in business relationships and exercise sound business judgment
• Ability to deal with all employees and external business contacts while conveying a positive, service oriented attitude
