The Executive Assistant position is responsible for performing administrative tasks in support of the President, Americas according to Company and Department procedures while exercising a high degree of discretion.

Job Description

The Executive Assistant position is responsible for performing administrative tasks in support of the President, Americas according to Company and Department procedures while exercising a high degree of discretion.  The Executive Assistant acts as a liaison between the President, Americas and other Company Managers and Departments. This role is the primary administration liaison to the Commercial team, supporting the development and production of presentation materials and coordinating Americas staff and team meetings.

Duties & Responsibilities

  • Arrange and maintain the executive’s calendar schedule, including Senior Leadership Team meetings, WebEx meetings, domestic/international travel, and any other meetings that arise
  • Research travel options, book domestic/international flights for President, Americas in such a manner where he/she can be most productive (arrange car, flight, hotel, conference center meeting space, meal options, and any other reservations necessary while traveling)
  • Process expense reports as necessary
  • Arrange and schedule department and interdepartmental meetings
  • Maintain confidential reports and records
  • Initiate, type and distribute correspondence on behalf of the President, Americas to internal teams and / or external customers
  • Process incoming communications, both written and calls
  • Prepare presentations for meetings and department town halls
  • Create POs and process vendor invoices when appropriate
  • Work with Marketing department to register President, Americas for conferences / exhibits throughout the year
  • Manage personnel annual review schedule, interview schedules, and Workday items with Human Resources
  • Ensure all IT needs are met for President, Americas to include printer supplies, mobile phone needs, equipment needs
  • Order department supplies when necessary
  • Meet all deadlines provided by upper management
  • Provide support to Vice President, Strategic Channels (calendar management, travel and expenses, IT needs, PO processing, conference registration – to include team, and business card ordering – to include team)
  • Other tasks as assigned

Minimum Qualifications:

  • 6+ years experience in an Administrative support role supporting top level Executives
  • 2+ years experience with finance and analytical projects and assignments
  • 5+ years experience with Microsoft Office applications including: Word, Excel, PowerPoint, & Outlook
  • Ability to travel when needed

Preferred Qualifications:

  • Bachelor’s degree in business administration or related field
  • Excellent verbal, written and interpersonal communication and presentation skills
