Job Description


~The Sr. Project Manager will work closely with members representing various business units to lead the vision of promoting the KCI brand at Americas-based tradeshows and conventions

~The Sr. Project Manager will be responsible for leading a team of 2 that coordinate and manage convention logistics such as:

  • Vendor management
  • Manage relationships with associations and conventions partners
  • Negotiate partnerships to be mutually beneficial to associations and KCI
  • Manage day-to-day communication with contracted tradeshow vendors
  • Work with vendor on concept, design and execution of the exhibit booth
  • Coordinate contracting tradeshow space and work with exhibit house to determine correct mix of onsite tradeshow services
  • Coordinate procurement of event equipment and materials
  • Create and manage internal communications related to event logistics and onsite roles and responsibilities
  • Develop content and execute training of in-booth staff
  • Create and manage production schedules and ensure that deadlines are met by work stream owners
  • Overall budget management by convention/show/event including reconciliation of invoices and payments
  • Additional responsibilities as needed to ensure successful meeting management

~The Senior Project Manager will be responsible for coordinating logistics for the larger shows KCI participates in, working with the team to delegate appropriate tasks

~Act as lead program manager with third-parties engaged by marketing representatives in its interactions with HCPs, including transparency reporting responsibilities; Focus Groups and Ad boards being a key focus

~Ensure all events are consistent with Compliance guidance, thus ensuring marketing’s support of compliant and ethical interactions with HCPs

~Work with appropriate marketing & other department representatives to develop internal processes

~Inspire and assist with creation and execution of promotional/sponsorship opportunities such as:

  • To-customer pre/ post show communications
  • Onsite signage and advertisements

~Onsite supervision; ensure convention operates smoothly and manage escalations

~Act as program manager to liaison with business units to drive efficiencies and achieve cohesion at educational conferences/conventions, in the Americas (US, Latin America and Canada)

~Responsible for creating a vendor scorecard and assess performance to determine return on investment (ROI) and communicate internally

~Regular business reporting of progress to success metrics established for events within assigned book of business. Serve as the point of contact for troubleshooting and escalations about performance

~Develop various summary reports to share with rest of organization include senior members; convention summaries, convention budget summaries etc.

~Oversee the management of online marketing collateral platform:

  • Work with 3rd party supplier to ensure marketing collateral platform is fully functioning and updated in a timely manner with accurate materials
  • Manage 3rd party relationship along with procurement partners
  • Work closely with marketing team partners to ensure collateral is regularly reviewed to maintain a clear and current offering, develop SOPs as needed
  • Oversee and manage collateral inventory levels

~Responsible for coaching and leading 2 direct reports


  • Ability to use discretion and exercise independent judgment under minimal supervision
  • Computer literate; proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Ability to self-motivate, multi-task and prioritize
  • Strong interpersonal, presentation, demonstration and organizational skills
  • Ability to communicate effectively, detail-oriented
  • Ability to thrive in a fast-paced commercial environment with the capability of handling complex situations
  • Ability to work well either independently or as part of a team

EDUCATION & QUALIFICATIONS  (Minimum qualifications for the position)

  • BS/ BA, CMP, or CTSM preferred with a minimum of 3 years industry experience
  • Knowledge of medical industry tradeshows is a plus


  • Knowledge of event marketing concepts and understanding of sales and marketing relationships
  • Strong project management skills and ability to manage multiple projects at once with above satisfactory results and with limited supervision
  • Strong communications/ customer service skills and ability to work cross-functionally
  • Technical Knowledge – use of programs such as CAD/ AutoCAD, Adobe Illustrator, Adobe Acrobat, Microsoft InfoPath and core Microsoft Office applications (PowerPoint, Word, Excel). Knowledge of MacOS
  • Ability to travel. Travel is approximately 45-60% annually


This position requires some physical setup and dismantle of exhibit assets and the ability to lift up to 55lbs
