Job Description

The Integrated Marketing Communications Assistant will perform administrative duties to support the department leaders and Integrated Marketing Communications team. The ideal candidate will proactively prioritize leadership requests and ensure that the team has the support it needs.  He or she will be able to work independently and make decisions with a sense of creativity and innovation as necessary.

Principle Responsibilities: (essential job duties and responsibilities)

  • Schedule appointments and arrange for meetings which may include preparing agendas, reserving and preparing facilities, and recording and transcribing minutes of meetings
  • Arrange and coordinate travel schedules and reservations
  • Manage department email mailboxes and route messages to applicable team member
  • Process travel expenses for IMC leaders
  • Develop, maintain and distribute department related information on a daily, weekly, monthly basis
  • Assist in the research, conceptualization, development and implementation of communications that align with initiatives from internal stakeholders
  • Order department supplies
  • Attend meetings as assigned and report on actions
  • Serve as the point person and coordinator of all employee engagement social activities
  • Develop and help maintain Intranet pages to enhance knowledge share across the Company
  • Assist in managing multimedia content on internal communication channels, including digital signage, videos, etc.
  • Support Company social media content development, including developing a content calendar, posting and any necessary photography
  • Coordinate with multiple teams across a variety of functions and locations
  • Performs other duties as assigned


  • 1-2 years communications and/or marketing experience a plus
  • Prior administrative support experience a plus


  • Outstanding verbal and written communication skills
  • Ability to deal effectively with all employees and external business contacts while conveying a positive, high-energy, service oriented attitude
  • Ability to maintain complete confidentiality and discretion in business relationships and exercise sound business judgment
  • Strong prioritization & follow-up skills; strong sense of urgency
  • Intense attention to detail with accuracy and consistency
  • A quick learner of technology and technological processes

Minimum Qualifications:

  • Proven ability to organize and manage multiple priorities in a fast-paced, dynamic environment
  • Must be able to work with limited direct supervision and collaborate as part of a team
  • Must have means and flexibility to run errands as needed within the San Antonio Area (supply purchases, interoffice deliveries, etc.)
  • Must be able to stoop, kneel, and sit for long periods of time
  • Must be able to lift 10-20 lbs of documents or other office supplies or equipment
  • Notary Public: Existing Texas license or willingness to secure licensing as soon as possible is necessary.

Preferred Qualifications:

  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Proficient in Adobe Creative Suite
  • Experience with SharePoint is strongly desired


3-4 years relevant experience

Bachelor’s degree in Business, Communication, English, Marketing or related field is preferred
