Job Summary:

This role is responsible for all aspects of addressing key issues raised by current HR Leadership staff and lead/participate in designated projects. Additionally, the ideal candidate would process invoices, front desk receptionist duties, and administrative support for Human Resources Leadership. This position will work directly with C-level executives and will have great visibility across the organization. The ideal candidate with be highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment.

Principle Responsibilities: (essential job duties and responsibilities)

  • Supports VP of HR Operations on special projects ranging from continuous improvement to financial reporting activities
  • Coordinate executive communications, including taking calls, responding to emails and interfacing with customers
  • Maintain an organized filing system of paper and electronic documents
  • Schedule HRLT meetings, appointments and manage travel itineraries/expenses
  • Arrange corporate events such as summits, trainings, town halls, team building events and internal meetings
  • Maintain a level of professionalism among staff and clientele
  • Process all invoices and oversees the flow of invoices
  • Provides a friendly welcoming experience by greeting guests as they enter Human Resources department
  • Provides support and back up for other staff in department, as necessary
  • Manages and coordinates all HR conference room schedules
  • Participates in all reasonable work activities as may be deemed suitable and assigned by management
  • Uphold a strict level of confidentiality

Skills and Experiences:

  • Preferred two years of Human Resources experience and two years Executive Administrative experience

Minimum Qualifications:

  • Average skill level for MS Office Applications including Outlook, Word and PowerPoint
  • Excellent follow-up skills
  • Ability to manage change and multiple priorities
  • Excellent communication skills
  • Strong organizational and time management skills
  • Operate independently without close direct supervision
  • Maintain confidentiality and exercise discretion in all business relationships

Preferred Qualifications:

  • Oracle Accounts Payable experience
  • Intermediate skill level for Excel
  • Strong communicator both verbally and in written format
  • Strong problem solving skills

Education:

  • Minimum High School diploma or GED
  • Preferred bachelor’s degree in Communications, Human Resources, Business, or related field
